User Roles Overview

Unless otherwise stated, assume NO access. I'm presenting a white list of accessible areas of Inteliguide V2.

Please refer to Users to more fully understand how these Roles are applied.

 

Note: The term Managers is used over and over again throughout this documentation. Managers refer to all Roles BUT Civilians, Cops, and Clients.

 

Double Note: There's a lot of talk in here of Internal and External. Brush up on that to get a better understanding of how those concepts apply to Roles. 

 

Overview


Master Admin

Really everything is accessible, carte blanche. Absolutely NO restrictions

 

Admin

Everything within their respective Franchise Contexts that they've been Authorized for.

Limitations come in the form of access only to Authorizations of existing Businesses and Users that have been created elsewhere... as opposed to those Businesses and Users themselves.

 

Note: Authorizations can more fully explain how Businesses and Users created for and belonging to other Franchises are handled from within separate Franchises.

Site Manager

Derived from Restricted Auditor, given Add/Edit and enhanced abilities governed by a pool of Locations, Site Managers are customizable and can be fine tuned to suite each manager's capabilities and purpose. Read more here.

 

Cop (LEB - Law Enforcement Based)

  • Dash (home, Internal Dash - everything but News posts intended exclusively for Clients)
  • Schedule (View ONLY those User are Scheduled for and Available to LEB or Both Teams, NO EDIT)
    • Agenda (View Only User's Schedule - for export and printing purposes)

    • Contact Management (recipient list popped by anybody NOT a Cop, Civilian, or Client)
  • Can Log Activity Reports ONLY for Shifts they're assigned to (Committed, Scheduled, In Progress, Completed). They cannot Edit their Reports after they've been logged.
  • Documents
    • View Full List unless otherwise specified by Role (docs are viewable by role - Master Admins see all)
  • Profile and all settings avail there (phones, password, availability only when due to be reset)

Civilian (CBS - Civilian Based Security)

  • Schedule (View ONLY those User are Scheduled for and Available to CBS or Both Teams, NO EDIT)
    • Agenda (View Only User's Schedule - for export and printing purposes)
    • Shift Details (NO Punch Editing, but can log reports)

    • Contact Management (recipient list popped by anybody NOT a Cop, Civilian, or Client)

    • Contact Management (recipient list popped by anybody NOT a Cop, Civilian, or Client)
  • Reports
    • Client Report List (Filters and Searching restricted to results given the Locations their User is assigned to, and the Type of report - Shift (Dedicated) and Tour)
      1. Reports Detail only show the type of report (Shift or Tour), the Location, the Report Start Date/Time, the report Count - 1, 2, 3, etc. - the full Summary & Description. NO OTHER INFO or Actions are avail currently.
  • Profile and all settings avail there (phones, password, availability doesn't apply to Clients)

 

Anonymous

  • Only login page

 

Patrolguide Roles

When defining a Role for a new User on the Add User Form, any selected Role besides Admin (who gets access to everything already) and Client (who doesn't get any access to Patrolguide) reveal a separate Patrolguide Role drop down. The options are:

  • None (meaning you can create a non-Admin/Client User that doesn't have any access to Patrolguide)
  • Officer
  • Manager

Officer

  • Full access to the Patrol Process only
  • No access to the following:
    • PG Schedule
    • Patrol Work Orders
    • Other User's Activity Reports, for viewing or editing (if User is also a Civilian or Cop Role)
    • Patrol Summaries Report
    • Alarm Summaries Report
    • Patrol Work Order Settings (Admin ONLY)

Manager

  • Full access to the Patrol Process
  • Full access to the PG Schedule
  • View access to Patrol Work Order Detail Pages
  • No access to the following:
    • Other User's Activity Reports, for viewing or editing (if User is also a Civilian or Cop Role)
    • Patrol Summaries Report
    • Alarm Summaries Report
    • Patrol Work Order Settings (Admin ONLY)

If a User is set to "None" for their Patrolguide Role, they may still have access to Patrolguide related functionality within Inteliguide; as dictated by their Inteliguide Role. The way that it works is by inheritance. A User's Inteliguide Role simply inherits expanded abilities and access from their Patrolguide Role. If a Patrolguide Role conflicts with an Inteliguide Role when granting access, the system will always defer to Inteliguide. This means that the Patrolguide Role will never restrict or "step on" the access granted by an Inteliguide Role.

 

Detail


I'll outline the finer details of some of the shared sections that look and behave differently depending on the User's Role. Again, this is a white list. Assume NO access unless explicitly mentioned. That said, Master Admins and Admins get carte blanche. So assume everything is white-listed for them, and the following lays out behavior for the rest of the Roles. Admin peculiarities are outlined below for Codes/Dispos/Instructions, Businesses and Users.

Reminder. Manager Users (Managers) are any Role NOT Client, Cop or Civilian (or Anonymous).

 

Schedule

All roles but Client have access to the schedule. Here's the breakdown of features/visibility

"full view" while discussing the Schedule means that the User can see any and all info (Pending, Avail, Non-billable, Managerial, Cancelled, LEB/CBS Team Shifts, and all toggles)

  • Scheduler: full view, no bulk Add/Edit (either in the Advanced Add Shifts Form or the Bulk Actions for Agenda), Quick Add, Advanced Add (one at time). CAN edit Time Punches on Shift Details. No lower manager can do this.
  • Accounting: full view, can't edit.
  • Auditor: full view, can only edit individual Shifts at a time (no Bulk on Schedule or Agenda) and can only edit the Shift Status and Lunch info (including if there's a lunch, and if so how long).
  • Restricted Auditor: full view, can't edit; hence restricted.
  • LEB: can only view Shifts they're scheduled for or that are in progress or have been worked, and those Shifts that are avail for the LEB or BOTH Teams.
  • CBS: can only view Shifts they're scheduled for or that are in progress or have been worked, and those Shifts that are avail for the CBS or BOTH Teams.


Commit Restrictions

Level Bumping for Users: Priority Rank

 

Note: If the Shift has the No Wait option added to it, then it doesn't MATTER the Priority Rank. It's ANYone's shift to Commit to. Admins will often do this in the event they have a LOT of Shifts that need filling in a short amount of time.


CBS v LEB:

If a Shift is given a Team of CBS, only CBS Users can Commit. If Team LEB, then only LEB Users can Commit. IF a Shift is created for Both types, then both can Commit. If the Shift is not a No Wait Shift, then Priority Rank still will be considered with BOTH CBS and LEB.

Pending

Managers are the only ones that can view Pending on the Schedule.

PG Schedule

All Manager Roles can view. Master Admins, Admins and Schedulers, however, are the only ones that can Edit.

 

Contact Management variant of Create Message

Clients, Civilians, Cops get a "Contact Management" button above their Inbox that basically allows them to use a very limited form of the Create Message From. It just allows one drop down that only features Management recipients. No Attachments. Yes Subject. Yes Body. Send button. Destination defaults to Internal, no other option, no SMS, no External.

 

Inbox Reply, Reply ALL, Forward

Managers can Reply, Reply ALL, and Forward, they can also add attachments, and choose the type of reply (Internal, External - email, or Both). Here's the breakdown of the Roles that can add additional Client Recipients:

  • Scheduler
  • Accounting

Here's a list of Managers that can only internally REPLY to a Client that has already used the Contact Management feature to contact them. They can't add additional Client contacts when replying, as they shouldn't even appear in the Chosen list of active Users. The reason it's restricted to internally replying is that it has to be monitored in the Message History so a full transcript of the correspondence is accessible.

  • Auditor
  • Restricted Auditor

 

Create Message

Managers can all use the Create Message form with full features except for the following restriction for:

  • Auditor
  • Restricted Auditor

They CANNOT create messages for the Client Roles or individual Clients. Again, they can only reply internally to a Client that has emailed them directly. The reply MUST be internal for accountability and paper trail purposes.

 

Message History

Nothing really to say except for Scheduler gets full access here. No other managers (besides Admins and Master Admins, of course) get access.

 

Client Report

Client Roles can only view the following information on Locations they have RIGHTS to. So they have to be added to the Locations for which they will view Activity Reports. See: Clients Disambiguation - Location Rights.

They can only view the List and Detail views. They have no rights to Bulk Actions at all. Queuing is not even available to them. They can still click on the List Item main Link, click on the Eye icon, collapse and expand the list, but no Archive or Edit accessibility. Just show those List Actions as inactive.

  • Report Count (incremented for the number of reports for that given Shift or Tours - 1, 2, 3, etc.)
  • Summary
  • Description

We don't want them to know the end time of the Activity Report, or the User who wrote it.

 

Call Roster

Users Drop Down

  • Restricted to Active Managers (no Civilians, Clients, or Cops)

Only Admins and Master Admins have access to this.

 

Call Directory

Avail to all managers. Auditors (Auditor and Restricted Auditor) cannot filter and view Clients.

 

Dash

The Dash is really broken into two major parts.

Internal (anything but Client)

They have access to the full functionality of the Dash as predetermined via Settings and the type of content. Some Widgets have the ability to be turned off, and some will display different data depending on the time of day (Call Roster), Location (Location Bulletin Posts), what type of Shift they're working (Recent Patrol Activity) and News (Internal or Both Posts).

This Internal "view" is further broken into two more major parts.

  • Shift Dash
  • Normal Dash

From there, the Shift Dash really only changes in role behavior not based on the Role of the User, but based on the type of Shift it is. All widgets are present for whatever Shift and User, with the added widget of Recent Patrol Activity for those individuals working or Scheduled to work Patrol Group Shifts.

The Location Bulletin Post widget should only show Unread and Read posts germane to the Location(s) (Locations in the case of a Shift created for a Group containing more than one Location) actively being worked or that the User is Scheduled to work.

News Function:

For Internal Users, they can only see Staff features or News Posts available to Internal or Both.


External (Client)

News Function:

For External Users, they can only see Staff features or News Posts available to External or Both.

Other than that, all Clients get additionally is their Profile widget. More detail can be found here.

 

Support

This is to prepare for post V2 development. Codes/Dispos/Instructions are NOT editable in any way (Existing or Additions) by any Role but Master Admin. We will provide an interface post V2 that will allow Admins to edit certain aspects of them. Coming soon! Until then, changes will have to be requested of Master Admins.

Vehicles are editable entirely on the scoped context level by Admins and Schedulers only.

 

Authorizations

Admins can only create and manage Authorizations on Businesses and Users that were not created for their own Franchise Context. So those items will appear in the list of Businesses and User results, but the only point at which they're editable is at the Authorization level for Admins. Master Admins, of course, can make whatever modifications either to the Authorization or the actual record for Users and Businesses. To keep things simple, even a Master Admin has to go to the source of the original record to Edit the record. Post V2, we will expand this to take into consideration modifying records from outside their parent Contexts. See: Authorizations

 

Documents

View rights are determined via the Role distinction given when uploading a new Doc.

Scheduler and Accounting have full List and Edit rights for Documents, including the ability to Delete them (and Admins & Master Admins, of course). All other Roles are View only, and only as defined by the assigned Viewable-by Role.

 

Note: Clients can now access specifically shared documents that correspond to their Location Rights. These Documents can only be uploaded by Admin Users.
